Privacy Policy
Vaultyix ("Vaultyix", "we", "us") provides an AI-powered service that extracts structured data from invoices, receipts, and similar financial documents and writes that data to destinations you choose, such as Google Sheets or Microsoft OneDrive. This Privacy Policy explains what we collect, how we use it, and the choices you have.
1. Information we collect
- Account information — your name, email address, and username. Your password is stored only as a salted one-way hash; we never store it in plain text.
- Documents you submit — the invoices, receipts, or images you upload or capture are sent to our AI provider to extract data. We do not retain the original files after processing.
- Extracted data — the structured fields we extract (such as vendor, date, amounts, currency, and any custom fields you configure) and the source file name, which we store so you can review your history.
- Connection tokens — when you connect Google Sheets or Microsoft OneDrive, we store the OAuth access and refresh tokens needed to write to your account. These tokens are encrypted at rest.
- Technical data — basic logs and rate-limiting information needed to operate the service securely.
2. How we use your information
- To extract data from the documents you submit and deliver it to your chosen destination.
- To create and secure your account and authenticate you.
- To maintain a history of your extractions so you can review past results.
- To operate, secure, and improve the service.
3. Third-party services
To provide the service, we share the minimum necessary data with:
- OpenAI — document images/PDFs are processed to extract data. This is done through OpenAI's API, where, per OpenAI's policy, your content is not used to train their models. See OpenAI's privacy policy and API data usage policy.
- Google — when you connect Google Sheets, we write extracted rows to the spreadsheet you authorize, using the access you grant. We request only the scopes needed to do this.
- Microsoft — when you connect OneDrive, we write extracted data to the file/location you authorize.
- Exchange-rate provider — currency codes (not your documents) are used to fetch conversion rates.
We do not sell your personal information.
4. Google user data
Vaultyix's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. When you connect your Google account, Vaultyix uses the granted access solely to:
- list the spreadsheets Vaultyix has created for you, so you can pick one to save to;
- create a new spreadsheet at your request; and
- write your extracted invoice and receipt data to the Google Sheet you select or whose link you provide.
We do not read the contents of your other files, and we do not use Google user data for advertising, to train machine-learning models, or for any purpose other than providing the features above. We do not transfer Google user data to third parties except as necessary to provide or improve these features, to comply with applicable law, or as part of a merger or acquisition. You can revoke Vaultyix's access at any time in your Google Account permissions.
5. Data retention
We retain your account information and extracted data for as long as your account is active. Original uploaded documents are not retained after extraction. You may request deletion of your account and associated data at any time (see Contact below).
We never sell your data and never use the contents of your documents to train AI models. Your invoices are processed only to extract the data you ask for and to send it to the destination you choose.
6. Security
We use industry-standard measures including encrypted OAuth tokens at rest, hashed passwords, HTTPS transport, and rate limiting. No method of transmission or storage is 100% secure, but we work to protect your data.
7. Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to withdraw consent for connected services. To exercise these rights, contact us using the details below.
8. Children's privacy
Vaultyix is not directed to children under 16 and we do not knowingly collect their data.
9. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by an updated "Last updated" date on this page.
